Privacy Policy

Strata Heat Pumps ("Strata", "we", "us") respects your privacy. This page describes what we collect, why, and what we do with it. This is a placeholder policy and should be replaced with a final, lawyer-reviewed version before launch.

What we collect

  • Information you give our estimate tool: your ZIP code, phone number and home details, and, if you book a walkthrough, your name, email and street address.
  • A utility bill, if you choose to upload one (see "Bill uploads" below).
  • Information you send via our contact form.
  • Standard server logs (IP, user agent) for security and reliability.
  • Visit data from Google Analytics, which we load through Google Tag Manager: pages viewed, device type and rough location. It uses cookies. To opt out, use Google's browser add-on at tools.google.com/dlpage/gaoptout.

How we use it

  • To prepare your heat pump estimate and call you about it.
  • To communicate with you about your project, install, and rebates.
  • To file rebate paperwork on your behalf with utilities and the Colorado Energy Office.

Bill uploads

On your estimate you can upload a utility bill to make the estimate more accurate. This is optional.

  • We send the bill to OpenAI, which reads the monthly gas, electric and propane use for us. OpenAI is our service provider for this step. We ask it for usage numbers only, never names, account numbers or addresses.
  • We keep the numbers it reads (monthly use, your utility and the service ZIP code) with your estimate.
  • We keep a copy of the bill file only if you tick the box that asks for it, so we can use it for your rebate paperwork. We delete that copy after 90 days. If you leave the box empty, the file is never saved; we keep only its name, size, type and a fingerprint (a hash).
  • We keep a record of each bill reading, including what OpenAI sent back, for 180 days.
  • OpenAI's terms for its API, as of October 2026: "data sent to the OpenAI API is not used to train or improve OpenAI models", and abuse monitoring logs are "retained for up to 30 days" (longer only when the law requires it). What we don't do

  • We don't sell your information to third parties.
  • We don't share with marketing affiliates.
